1. Introduction
GhostWriter ("we", "our", or "us") is a voice-powered AI writing assistant for macOS. This Privacy Policy describes how we collect, use, store, and share information when you use the GhostWriter desktop application and our website at justghostwriter.com (collectively, the "Service").
2. Information we collect
2.1 Account information
When you create an account, we collect your name, email address, and an encrypted password. If you sign in using a third-party provider (e.g., Google), we receive the display name and email associated with that account.
2.2 Voice & audio
GhostWriter records audio from your microphone only while you actively hold down the configured activation key. Audio is transmitted to our transcription service for processing and is not stored after the transcription is returned, unless you have opted-in to the "Help improve GhostWriter" setting, which shares anonymized transcriptions to improve accuracy.
2.3 Usage & analytics
We collect anonymous usage statistics such as session counts, transcription word counts, and feature usage to help us understand how GhostWriter is used and improve the product. These metrics do not include the content of your transcriptions.
2.4 Diagnostic data
When you submit a bug report through the application, we collect your message, optional reproduction steps, and a device identifier to help us investigate the issue.
3. How we use your information
- To provide and operate the Service, including transcription, AI cleanup, and text insertion.
- To authenticate your identity and manage your account.
- To process payments and manage your subscription through Stripe.
- To improve the accuracy and quality of our transcription and AI features.
- To respond to support requests and bug reports you submit.
- To send transactional emails (e.g., email verification).
- To detect, prevent, and address fraud, abuse, and technical issues.
4. Data storage & security
Your account data and settings are stored securely using Convex, a cloud database provider. Passwords are hashed using industry-standard algorithms and are never stored in plaintext.
Voice recordings are processed in-memory and are not persisted to disk or long-term storage unless the anonymized sharing option is enabled.
We use HTTPS for all data in transit and follow industry best practices for securing data at rest.
5. Third-party services
We use the following third-party services:
- AI & Transcription providers - to convert speech to text and cleanup transcriptions.
- Convex - as our backend database and serverless function platform.
- Stripe - to handle subscription billing securely. We do not store your full credit card details.
- Analytics - to measure anonymous website traffic (privacy-focused, no cookies).
6. Your choices & rights
- Opt out of anonymous data sharing - You can disable "Help improve GhostWriter" in Settings → Data & Privacy at any time.
- Delete your account - You can delete your account from Settings → Account within the app. This permanently removes your data from our systems.
- Access your data - You may request a copy of the personal data we hold about you by contacting us.
- Correction - You can update your name and email in Settings → Account.
7. macOS permissions
GhostWriter requires macOS Accessibility permission to detect your activation key and insert text. It also requires Microphone permission to record audio while the activation key is held. These permissions are managed through macOS System Settings and can be revoked at any time.
8. Children's privacy
GhostWriter is not directed at children under the age of 13. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 13, we will delete it promptly.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the application or via email. Continued use after changes constitutes acceptance of the updated policy.
